How to Review and Accept Suggested Edits in Google Docs

Use Suggesting mode without overwriting original wording, approve or reject changes and verify what will appear in the final document.

Quick answer: Use Suggesting mode when you want to propose an edit without directly replacing the original text. The document owner or someone with suitable permissions can accept or reject those suggestions. A suggestion is not automatically an approved change.

Understand the three kinds of work

Editing changes the document directly, Suggesting proposes an insertion or deletion, and commenting discusses the text. These are related but not interchangeable. Depending on file permissions, you may be able to comment or suggest without having permission to approve the final language.

Fictional two-line exercise: Original: “The guide is approved for release.” Suggestion: replace it with “The guide is ready for review.” If the suggestion is accepted, the new version has a different approval status. If it is rejected, the original wording remains. The reviewer should verify which statement is actually supported before deciding.

Switch to Suggesting

  1. Open a document in Google Docs and confirm that you are allowed to suggest changes on that file.
  2. Use the mode control near the top-right of the editing interface. If it currently says Editing, open the drop-down and choose Suggesting.
  3. Make a small test change in a permitted practice document. Google explains that inserted text appears in a different color and deleted text is marked as removed.
  4. Explain the reason in the suggestion comment if the decision is not obvious. Do not present a proposal as a confirmed fact.

If the Suggesting control is missing, check whether you only have view access. Request suitable edit/comment access from the owner rather than attempting a workaround. Controls may vary by device or managed workspace.

Accept or reject individual suggestions

Open the suggestion card and choose Accept or Reject if you have the permission to do so. Accepted suggestions modify the effective document text; rejected suggestions leave the original. Compare the resulting paragraph to your approved facts and check that no date, amount or commitment changed without permission.

Review many suggestions carefully

Google also documents Tools → Review suggested edits to preview how a document looks with suggestions accepted or rejected, and to handle all suggestions. A preview is for inspection; it is not proof that you have actually approved edits. Use bulk accept/reject only if the document owner has agreed to a consistent decision rule.

Common problems

  • No Suggesting option: inspect access permissions and the document type.
  • Someone changed the text directly: verify the editing mode and inspect version history through the product's own interface.
  • Comment still appears: comments and suggestions are distinct; handle the comment separately.
  • Imported Word file: Google documents that tracked Word changes can become Google Docs suggestions, but always inspect the converted file for differences before sharing.

Check the approved version before sharing

Read the final wording from beginning to end, spot-check disputed sentences against the source, and confirm that the recipient has the intended access. Do not claim a pending suggestion was approved just because it is shown in the document. For an independent, browser-local comparison of two short text excerpts, use our text difference checker; it cannot read Google Docs suggestion metadata.
